How to find sponsors for a student club

The short answer: be where sponsors are already looking for clubs. On Uninexus, verified brands browse clubs' events, publish sponsor calls and send their offers straight to the club's workspace. This guide shows step by step how to bring your club into that flow, and ends with what helps when you look for sponsors outside Uninexus too.

Find sponsors for your club

What is the fastest way to find sponsors for a club?

Be visible where sponsors look for clubs. Cold emails often go unanswered because you cannot tell whether the brand has a budget or any interest at that moment. On Uninexus, the brand on the other side is there precisely to sponsor student clubs.

Sponsor accounts are separate from student accounts, and a brand can send offers only after Uninexus staff have verified it by hand. In Discover, verified brands see events looking for sponsors and clubs open to offers, and they publish sponsor calls of their own. On the club's side, this work is done by the club's officers responsible for sponsorship.

Set up the club's workspace

One of the officers opens a Uninexus account, completes their student profile, chooses their university and creates the club. Whoever creates the club becomes its owner.

Invite the people who will handle sponsorship by email address or username and give them the administrator role; the sponsorship section opens only to the owner and administrators. Sponsors see each club's university and whether it has been confirmed as an official club. If your university lists your club, request official status in the settings; the seal staff grant by hand shows a brand that it is really dealing with that club.

Prepare the sponsorship file and choose your metrics

In the sponsorship section you prepare the club's sponsorship file once: a short introduction for sponsors, the metrics to show and package templates. Verified sponsors see this file when they open your club.

Uninexus computes metrics such as member count, average attendance and members by field of study from the club's own records; nobody can type numbers in, and you decide which ones are shown. Member names never appear in the file. Once you mark the file as open to offers, verified sponsors find the club in Discover and can send offers. Open an event to sponsors

Brands usually sponsor a specific event rather than a whole club. When you open an upcoming event to sponsors, it joins the events looking for sponsors that sponsors browse.

In the event's Sponsors tab you set the tiers, their price ranges and what the club offers: a logo on the announcement, a stand at the venue or a prize named after the brand. Your package templates give you a ready starting point. Do this before the posters are printed; a logo reaches the announcement only if the deal is agreed in time.

Choose a brand in the sponsor directory and send an offer

The sponsor directory lists verified sponsors only. Filter it by sector, interest and city, read their profiles and send a suitable brand an offer for one of your events.

An offer takes four steps: sponsor, event, tier and terms. In the terms you set the amount or the in-kind support and what the club will deliver. You can save the offer as a draft for the team to review; the sponsor answers from their own panel. Instead of a long list, start with a few brands clearly connected to your event and explain in a short message why they fit.

Apply to sponsor calls with one of your events

A sponsor call is a notice in which a brand describes the events it wants to support. In the Calls tab of the sponsorship section you see the open calls that suit your club and apply with one of your events.

Only the club's officers responsible for sponsorship see the calls. Each call shows a match score and its reasons; these are computed only from your published events and the metrics your sponsorship file shows, and the sponsor sees the same. The deliverables the call asks for are added to your terms, and you can add others.

Settle the terms in the deal room

Every offer and application opens a deal room. Terms are negotiated in versions: you counter, compare versions, exchange messages and finally accept or decline.

Once the deal is agreed, each deliverable is tracked one by one and linked to a task on the club's task board. When you deliver one, you submit proof with a link or a photo, and the sponsor confirms it or asks for changes. After the event the sponsor sees registration and check-in totals, never who came.

Track the agreed amount in Finance

When the deal is agreed, the amount appears as expected income in the club's Finance section. The sponsor pays outside Uninexus; when the money reaches your account you record the payment in Finance, and only then does it count as income.

The treasurer sees in one list which sponsor payments are expected and which have arrived. If the deal is cancelled, the expected payment is cancelled too and stays out of the totals. Rules on invoices, donations and in-kind support differ by university; ask the student affairs office or your academic advisor.

Build trust with past sponsors

If both sides agree, the sponsor of a completed deal can be shown as a past sponsor in your sponsorship file. The next brand sees who the club has worked with before.

Consent is given in the deal room, and each side agrees separately; if either does not, nothing is listed. Showing past sponsors must also be switched on in your file. A club that keeps its word and has its deliverables confirmed with proof builds the strongest reference for its next offer itself.

Look for sponsors outside Uninexus too

Not every brand is on Uninexus yet. Write directly to these candidates as well; the sponsorship file you prepared helps here too:

  1. Local businesses around campus, such as cafés, stationers and gyms.
  2. Companies where your alumni work or that they founded.
  3. Firms directly connected to the club's topic.

Keep the first email short and personal: the club, the event, why the brand fits and the support you are asking for, in five or six sentences. The introduction and metrics in your file are the core of that message. Write as early as you can before the event, follow up once after a week and note who you spoke to. If you reach a deal, you can record the payment as income in Finance.

What Uninexus does not do

Uninexus does not guarantee a sponsor; brands decide for themselves which clubs and events to sponsor. Uninexus also never collects, holds or sends money.

Payment and invoicing happen between the brand and the club, outside Uninexus; Uninexus only keeps the record of the deal, the deliverables and the expected income. Sponsors never see your members' names, email addresses or phone numbers, and they cannot message the club's members.
